The Executive Assistant is responsible for carrying out the administrative functions of the Chamber in an effective and efficient manner. This position directly reports to the President of the Thibodaux Chamber of Commerce, and is also responsible for retention and recruitment of membership to maintain continuity of services, which includes general administration of office duties and sales reporting.
Duties and Responsibilities:
• Provides administrative and support for the President/CEO, Board of Directors and staff as needed, including scheduling inhouse meetings, taking and transcribing minutes for committee meetings, etc.
• Assist with event, meeting development, and execution including Thibodeauxville and Christmas Parade, set up for inhouse meetings and ribbon cuttings. Attend Chamber events as requested.
• Maintain primary filing system, including all correspondence.
• Serve as primary source of contact for the Chamber by answering telephones, walk-in inquiries and greeting public.
• Responsible for maintaining and increasing memberships through monthly sales activities, membership retention, referrals, entering new members into Chamber Master, mailing new membership packets, maintain current members on system, and placing phone calls on delinquent accounts as needed. Assist with membership directory.
• Maintain financial information as directed by the President/CEO, including monthly invoices for members, invoices for the daily operations of the Chamber, and making weekly bank deposits.
• Monitor levels of supplies and handles shortages for the Chamber
• Coordinate mail handling, distribution to include bulk mail projects, and relocation packets for visitors.
• Other duties as required by the President/CEO
Specific Requirements:
• Some college/technical training preferred; however, two years of similar experience will be considered.
• Knowledge in office management systems and procedures
• Working knowledge in office equipment (printers and fax machines)
• Excellent written and verbal communication skills
• Proficient knowledge of computer skills and software applications
• Strong organizational and planning skills
• Ability to maintain effective and positive working relationships
• Ability to multitask and operate with limited supervision
• Strong problem solving and decision-making skills
• Available to occasionally work outside of business hours, including weekends when attending or participating in events and meetings.
